This notice explains how Energy Business Intelligence Ltd uses personal information: what we collect, why, who helps us handle it, how long we keep it, and the rights you have.
Who we are
Energy Business Intelligence Ltd (“EnergyBI”, “we”, “us”) is the controller of the personal information described here. We are a company registered in England and Wales, company number 12592967, with our registered office at Riverside Barn, Cam, Dursley, England, GL11 5DW.
For anything about your personal information, email l.backhouse@energy-bi.com or write to us at the address above.
What we collect
When you contact us. If you use the contact form, we receive the topic you choose, your name, your organisation, your email address and your message. If you email us, we receive your email address and whatever you choose to include.
When we work together. If you become a client or partner, we hold the contact details, correspondence and documents needed to deliver the work. For an Energy Governance Review this can include your energy invoices, contract terms, meter and half hourly data, and a letter of authority so we can request data from your supplier. This is mostly information about your business; it includes personal information only where it names people.
If we contact you first. We approach businesses we believe our work is relevant to. For that we use business contact details (name, role, organisation, work email address and work phone number) taken from public sources such as company websites, Companies House and professional networks, and from business data providers. Our outreach emails may record whether a link in them was opened, so we know whether to follow up.
When you visit the site. The site sets no cookies and uses no advertising or tracking tools. Our hosting provider processes your IP address and basic request details to deliver the site and protect it from abuse. Our visitor statistics are cookieless and aggregated: they count visits and pages, without building a profile of you.
Why we use it, and our lawful basis
- To reply to you and discuss your enquiry. Our legitimate interest in responding to people who contact us, or steps you ask us to take before entering a contract.
- To deliver work you have engaged us for. Performance of a contract with you or your organisation.
- To contact businesses about our services. Our legitimate interest in telling businesses about work that may be relevant to them. We only use business contact details, every message says how to opt out, and we stop as soon as you ask.
- To keep records and meet legal duties, such as accounting, tax and complaints records. Legal obligation and our legitimate interests.
- To keep the site secure and working. Our legitimate interest in running a safe website.
We do not sell personal information, and we do not use it for automated decisions that have legal or similarly significant effects on you.
Who we share it with
We use a small number of service providers who handle information on our behalf and only on our instructions:
- Cloudflare, which hosts the website, protects it and provides our cookieless visitor statistics
- Formspree, which receives contact form submissions and forwards them to us by email
- Google Workspace, for email, documents and storage
- Customer relationship and email outreach tools, which hold business contact details and outreach history
With your agreement, we also share information with partners you ask us to introduce you to, for example a delivery partner or an energy supplier. We will disclose information if the law requires it, or to establish or defend legal claims.
Some of these providers are based in, or process data in, the United States. Where personal information leaves the UK we rely on safeguards recognised under UK data protection law, such as the UK Extension to the EU–US Data Privacy Framework or the UK International Data Transfer Addendum to standard contractual clauses.
How long we keep it
- Enquiries that do not lead to work: up to two years from our last contact
- Client and partner records: for the work itself, then six years after it ends, for legal and accounting purposes
- Complaints: five years, as set out in our complaints procedure
- Outreach contacts: until you ask us to stop, and we review this list at least every two years. If you opt out, we keep only what we need to make sure we do not contact you again
